Overview

What is Calendly?

Calendly is the lightweight end of interview coordination. Its job is removing the scheduling back-and-forth on one-on-one stages: recruiter screens, hiring manager calls and single-interviewer slots, booked from a shared link against synced Google, Microsoft, Apple or Exchange calendars. What it is not is enterprise interview orchestration. It does not build multi-stage loops, balance load across an interviewer pool or coordinate multi-day panels, which is where GoodTime and Modern Loop start. Both agency and in-house teams use it daily; the difference is who is being coordinated. An in-house recruiter lines up candidate, recruiter and hiring manager. An agency recruiter lines up candidate, agency recruiter and the client's team, across several client organizations at once.

Features

What are Calendly's key features?

Shared booking links against synced Google, Microsoft, Apple and Exchange calendars.

Round-robin and collective scheduling for small interview teams.

Automated reminders, confirmations and follow-up emails.

Video conferencing links generated on booking.

Routing forms that qualify a candidate before booking.

Public API and an official MCP server.

Use Cases

How do recruiting teams use Calendly?

  • Automate recruiter screen booking and remove the scheduling back-and-forth.
  • Coordinate candidate, recruiter and hiring manager through a single link.
  • Cut coordinator workload on one-on-one stages and shorten time to hire.
  • Agencies: book candidate calls across several client organizations from one account.
  • In-house: give hiring managers a link instead of chasing availability by email.
Fit

Who is Calendly best for?

  • Teams booking recruiter screens and one-on-one interviews, not multi-stage panels
  • Agencies and in-house teams wanting a default scheduler before enterprise tooling
  • Not for interview loops, interviewer load balancing or multi-day coordination
Pros & Cons

What are Calendly's pros and cons?

Pros

  • Free tier covers single-user scheduling, so a solo recruiter starts at zero cost.
  • Multi-calendar connection shows true availability and prevents double-booking.
  • Plugs into most recruiting stacks: ATS, email and video conferencing.
  • Public API and an official MCP server make ATS sync straightforward to build.
  • Almost no training needed, so hiring managers actually use it.

Cons

  • Free tier is one calendar and one event type; multi-interviewer needs a paid plan.
  • Salesforce and Dynamics routing needs the higher Teams tier, not Standard.
  • No interview loops or panel balancing; it stops at one-on-one bookings.
  • Public booking links can expose availability patterns without an admin policy.
  • Relies on calendars being current, or bookings clash with other commitments.
Reviews

What are people saying about Calendly?

What reviewers rate: how quickly it removes scheduling email, the accuracy of the calendar sync, and how little training anyone needs to use it. What they flag: it thins out beyond simple bookings, with limited support for panels and multi-stage loops, and per-user pricing that adds up across a large team.
